Tasks – List & Calendar View

View and manage all your upcoming reservations, check-ins and check-outs.

On the top left of the screen, you can switch from List view to Calendar View.

View the main agenda of the tasks for this week, or scroll to view a future week. This page can be filtered by Company Tasks or My Tasks.

To view a different date, click on the day in the List View. 

You can select a date range to view the tasks of the selected range.

When clicking on “Export”, you can export and filter all the guests’ information by subject in an Excel or CSV file.

To show all completed tasks, select ‘Show Completed’ to filter the page. 

To add a new reservation manually, click “New Reservation”, and a new popup window will appear, where you will then add the reservation details. After you enter the necessary details, click “Create” to save the reservation.

Check-In

In this section, you will see all the scheduled check-in for the selected date.

It is organized by columns (from left to right):

  • The Check Box icon – The Check icon will be grey until a user marks a check-in as done, then it will be green
  • Rental – The Room/ Rental Name is listed here. The name will be in orange text if there is a same-day checkout/ new check in.
  • Guest name – the guest name for the check-in. To see the reservation details, click on the name.
  • Greeter – Color icon with the initials  of the Greeter assigned for this check-in
  • Pre Check-inIf the check-in process is complete, a green ‘Done’ sticker will show. If the check-in is partially done, it will show ‘Partially’ completed. If the pre check-in has not been started, it will show the amount of reminders/emails sent. If the reservation is missing the guest emails, has an invalid email address or is excluded, it will show ‘Invalid email’
  • ETAWhen the guest selects a check-in time on the pre check-in wizard, the selected time will show.
  • Last check out – the date and the time the last guest checked out of the Room/ Rental
  • Next check in – the date and the time for the next check on the Room/ Rental
  •  Source – Booking Source
  • Icons
    • Shield icon – certification of security deposit. The icon will be gold when it is 3D secure. 
    • Credit card icon, Passport scan icon – the logos of the credit card and the passport will be green if the guest scanned his credit card and/or his passport. Important: For security reasons, Duve does NOT save personal guests documentation in the server. Hosts receive this documentation by e-mail.
    • Dollar icon – Guest Billing – will be green if guest has paid via Pre Check-in
  • Chat, send pre check-in email & Release codes
  • The chat icon will start a chat with your guest. The envelope icon will manually send your guest a reminder to complete the pre check-in. The lock icon will send your guest the arrival information with the option to send the message with or without codes as an email, SMS or WhatsApp. 

When clicking on ‘Export’, you can export all the tasks and your guests’ information in an excel file, which can be useful also for marketing purposes.

You can choose rather view all tasks or filter tasks by subject:

When clicking on “New Reservation”, a new popup window will appear, where you need to add the reservation details. After you enter the following details, click on “Add”.

Check-Out

In this section, you will see all the scheduled check-outs of the selected date.

The check-out columns are the following:

  • The check boxThis box will be grey until a user marks a check in as complete, then it will turn green.
  • RentalThe Room/ Rental Name is listed here. The name of the Room/ Rental will be in orange if there is a check-out and a new check-in on the same day.
  • Guest namethe guest name for the check-out. If you click on the name, you will be forwarded to the reservation details.
  • AssignIf a greeter is assigned to the check-out, it will show here.
  • Pre Check-OutIf the check-out process is complete, a green “Done” sticker will show. If the check-out is partially done, it will show as ‘Partially’. If the pre check-out has not been started, it will show the amount of reminders sent. If the reservation is missing the guest email, has an invalid email address or is excluded, it will show “Invalid email’ or ‘Excluded’
  • Check-Out/EstimatedThe time that the guest will check-out of the Room/ Rental
  • Staff – The grade the guest gave the staff
  • Cleanliness – the grade the guest gave the cleanliness of the room/ Room/ Rental
  • Room/ Rental – the grade the guest gave about the Room/ Rental in general
  • Shield icon – This icon will show in green if held, or standard gold for 3D secured active security deposit. 
  • ‘House’ and ‘Quote’ symbolsThe house icon will be red if the guest left a comment about the property. The quote icon will be red if the guest left a comment after the rating.
  • Chat & Pre check-out email– Clicking the Chat icon will start to chat with your guest. On the second logo, you can send manually a pre-check-out email.  If your guest already filled the pre-check-out, the icon will be transparent.

Clean

This section shows the cleanings assigned for the day. The system automatically creates a cleaning task on the same day and time as the check-out. The cleaning date and time can be managed manually.

The columns will show:

  • The Check boxThis box will be grey until a user marks a check in as complete, then it will turn green.
  • Room/ Rental Name – The Room/ Rental Name is listed here. The name of the Room/ Rental will be in orange if there is a check-out and a new check-in on the same day.
  • Assign –  If a cleaner is assigned to the cleaning, it will show here. Cleaners can also be assigned by clicking on ‘Assign’
  • Time – The time the cleaning can begin.
  • Notes for Cleaner – Section to add notes for your cleaner. A user can add notes manually. Cleaners can also add to these notes.

General Tasks

In this section, a user can create general tasks for the day. By creating a task, the assigned team member or service provider will receive an email notification.

There are 6 columns:

  • The Check box – This box will be green if the task is done, and grey if not
  • Rental Room/ Rental Name
  • AssignThe team member or service provider assigned to the task. The initials of the team member assigned to the task will show.
  • Name – Description of the task
  • Due – Deadline with date and time
  • Envelope icon – Sends reminder of task to team member or service provider

When clicking on “New task”, a new popup window will appear, where you need to add the task details. After the details are entered, click “Add”.

Date Range

At the top of the page, you can select to show a specific date range for the different tasks to do (check in, check out, cleaning, general tasks).

Assign Task

The name of the person who is responsible for being in charge of the task.
The details of the assignee for check-in tasks will be shown as the greeter to the guests in the personal area mini-site.
There is a possibility to create a default assigned per rental for each kind of a task.

Calendar View

In the Calendar View, you can view all the active Rooms/ Rentals and the reservations for the month. This page can be filtered by ‘Today only’ with the check-in and check-outs of the day, or by month. 

Each reservation is shown as a time period on the calendar. If the pre check-in is complete, the reservation booking will show as green and show the check in time.

To access reservation information, click the block where the dates and the room intersect. 

  • A yellow dot will be shown next to the Room/ Rental Name with same day departure and arrival reservations.
  • A black dot will be shown on the day  where a general task has been assigned on the Room/ Rental.
  • An orange yield icon will show when a reservation is missing the guest email.
  • A red or white question mark will show when a guest has not completed the pre check-in.
 
 

Icons Legend:

  Passport Not Scanned (and pre check-in complete)

    Passport Scanned Successfully

Security Deposit – standard gold if 3D secure, green if completed

Guest Billing – red if incomplete, green if completed, standard gold if 3D secure or grey if before pre check-in

Ratings – ratings for Staff, Cleanliness, and Overall Experience

House – Check Out Review – Property Comment

Quote – Check Out Review after Ratings

    Chat – open Chat, Envelope to send pre check-in, pre check-out reminders and Lock to send Access Codes or Arrival message
